**Job Summary**

We are currently recruiting for experienced Bid Managers to join our Bid Studio in our centrally located Centurion office.



The Bid Studio manages the largest and most strategically important bids in established and emerging markets across Africa. This includes major bid preparations, management of future pipelines of opportunities, providing direction and assistance to all Sectors within AECOM’s business in Africa, as well as being charged with producing technically accurate, well written, and excellently presented Expression of Interest and Tender submissions.



We are now looking to enhance and grow the team with individuals with a proven knowledge of bid response and quality submission preparation who will share our enthusiasm and determination to support our expanding portfolio of opportunities.

The Bid Manager manages the day-to-day bid preparation, developing requirements from issued bid documents, devising proposal plans, agreeing deliverables and driving progress. They are responsible for working with Executive Sponsors / Bid Directors / Technical Leads and other members of the End Market teams in a collaborative fashion, recognizing the different roles and responsibilities of each.



They are involved in all steps from capture management and win strategy development, through the Pre-Qualification Questionnaire (PQQ) / Expression of Interest (EOI) and proposal submission to interview / presentation preparation and debrief sessions. The Bid Manager provides consistency through the process, is responsible for sharing lessons learnt and enabling continuous improvement in our process and bidding efforts.



**Core accountabilities include:**



+ Reviews RFPs and other related documents and gathers proposal information including a list of questions, information and material required to create the response.

+ Identifies and re-works existing content where relevant and agrees the response structure with the Bid Director.

+ Attends Strategy Meetings to fully understand the purpose of the proposal and the client’s requirements and expectations.

+ Prepares and manages a bid preparation and deliverables programme for the effective creation of the proposal response, including design, writing, editing, review and production tasks.

+ Manage the proposal, producing and adhering to a preparation plan that includes risk analysis and contingency planning.

+ Build the proposal team, identifying and briefing relevant staff members from across the business and ensuring their focus and motivation throughout the project as well as gaining the support of the Executive Sponsor and Bid Director to ensure availability of resource when needed

+ Facilitate workshops / planning meetings featured in AECOM’s Work Winning (WW) process, including working with key proposal contributors to establish / develop a clear win strategy and storyboard proposal content

+ Run storyboard and content planning coaching sessions and chase content contributors as required – managing content quality reviews

+ Promote the effective use of the WW process and tools, for all bids, to optimise the opportunity of winning

+ Writes sections of the proposal and reads, reviews, edits and finalises proposal responses from a variety of writers.

+ Ensures persuasive writing, consistency, professional standards and completion to RFP requirements.

+ Be responsible for ensuring that win themes are adequately inserted and highlighted throughout the proposal in visual and written form.

+ Provide presentation coaching, if required

+ Identify early bid training requirements for bid team members and programme the required training in advance of the receipt of the call for Expression of Interest or Request for Proposal

+ Guide others to use existing internal and external data sources in bids

+ Prepare and manage the bid budget

+ Manage the daily / weekly process and bid room visual management

+ Manage and maintain all bid documents and send them to the appropriate functions for response / review / signature in accordance with the bid programme

+ Instil a culture where others share knowledge, insights and learning and prize personal responsibility

+ Identify and share lessons learned as inputs to the continuous improvement of the WW process and tools

+ Provides editing and maintenance support for a repository of pre-written proposal content, where required

+ Support colleagues in activities to develop their WW excellence.



**Minimum Requirements**

They will have proven experience in working as part of tender teams supporting the preparation and submission of expressions of interest and proposals, including the preparation of high quality visual documents, for major opportunities. The role would suit a self-motivated individual looking to advance their career in a team working across Africa.



**Competencies required:**



+ A clear understanding and proven use of strategic proposal management processes, including qualification, pre-proposal planning, strategy development and storyboarding as well as overall proposal project management.

+ They will have an excellent eye for detail, not accept second best and will take personal pride and responsibility for all aspects within their control.

+ Outstanding proposal writing skills and solid basic graphic design skills, and the ability to turn 'raw information' into well-articulated proposal content.

+ Innovative and creative individual with the ability to generate new ideas and follow through to completion.

+ Excellent ability to work collaboratively and build credibility with senior colleagues and provide critique of others' work while maintaining positive relationships

+ The ability to work collaboratively with clients and colleagues alike and to chase others for contributions as needed.

+ A flexible approach to work and willingness to travel and work in different Africa offices, if required.

+ The ability to work under pressure and deliver work to deadlines.

+ Will thrive on the adherence to processes / systems and highly motivated to support bid teams



**IT Skills required in:**



+ Microsoft Word, Excel and PowerPoint

+ MS Project

+ Adobe InDesign

+ Adobe Illustrator (preferred)

+ Sales force (preferred)



**Preferred Qualifications**



+ 5 - 7 years of experience in the coordination of proposal preparation, preferably in the E/A/C (engineering, architecture, consulting) environment.

+ Foundation-level APMP certification.

+ A working knowledge of Adobe InDesign.
