**Job Summary**

**Overall Responsibility/Job Summary**

As part of a team, but under own initiative with minimal supervision, this position will provide administrative support and activities for Strategy, Financial Planning & Analysis (FP&A), Communications, and Marketing, with direct support to Vice Presidents of Strategy & Communications, Marketing, and FP&A.

**Key Areas of Responsibility**

1. Manage administrative tasks of the department, including setting up meetings, ordering supplies and food, and managing vendor relationships

2. Prepare/collect/format documents, create PDF documents for distribution, take minutes and distribute, track action items

3. Make travel arrangements and process expense reports. Planning/scheduling with the ability to decipher, troubleshoot and independently determine and problem-solve around logistical constraints.

4. Revise/update PowerPoint, Word and Excel documents to conform with templates

5. Print, scan, file and/or email materials as needed

6. Evaluate, maintain and improve department server file systems

7. Maintain project management tool (e.g., Asana, Flow, Wrike) for groups

8. Outlook calendar management including, but not limited to, scheduling appointments, meetings, travel arrangements, WebEx, contact info, etc… juggling multiple calendars and events simultaneously

9. Coordinate meetings and manage the administrative and logistical needs for various CS leadership meetings, including but not limited to quarterly business review meetings, annual strategic and operations planning meetings, monthly business review meetings, etc.

10. Special projects as-needed

11. Provide research assistance on various communications projects and initiatives

12. Process timesheets

13. Performs other job related duties as assigned

**Minimum Requirements**

+ 5+ years of experience in an administrative capacity

+ Advanced proficiency in the use of computers and common software programs a must such as MS Word, Excel, Outlook and Adobe.

+ Proficient organizational, written and oral communication skills, audio processing, excellent grammar and required with focus on accuracy and attention to detail

+ Highly motivated with ability to multi-task and prioritize a diversified workload, meeting established deadlines with minimal supervision

+ Requires ability to maintain confidentiality of work items and sensitive conversations

+ Proven success in a demanding, fast-paced environment, working under pressure, and maintaining professional business acumen and demeanor at all times

+ Discretion in handling confidential material, and high level of comfort liaising and interacting with senior executives and other stakeholders

+ Solid understanding of business concepts in construction services management preferred
